Day-Of Coordination
The Ruby package is perfect for couples who recognize the value of having an experienced coordinator assist on the day of the event to ensure things run as smoothly as possible. These couples have already locked in their design elements, booked vendors, and handled the other arrangements.
- Provide a timeline of events
- Meet with the bride to execute the plan
- Attend the rehearsal / dinner to get to know the bridal party
- Provide assistance w/processional and recessional plan
- Resolve last-minute wardrobe issues (emergency sewing kit)
- Check the ceremony site: decor, lighting, set-up, etc.
- Provide instruction to the guest book attendants and gift carriers, if applicable
- Ensure the officiant has the marriage license
- Provide instruction to the best man, ushers, maid/matron-of-honor
- Direct guests to the reception site and hand out maps / directions
- Direct wedding party and family for post-ceremony photos
- Coordinate transfer of ceremonial items to the reception site and ensure they are properly placed
- Review the schedule with the Master of Ceremonies, DJ/Musicians, Videographer, and Banquet Captain; verify vendor arrival time
- Check room set-up / layout, lighting, cake table, and entertainment set-up
- Verify reserved tables, place cards, and ensure the head table is properly marked as indicated on the diagram
- Oversee the transport of gifts and ceremonial items
- Line up the wedding party for the DJ to announce to the guests
- DJ will provide a microphone for the wedding party and parent speeches, first dance, toast, cake cutting, bouquet / garter toss, and other dances
- Encourage guests to participate in using the photo booth and other activities, if applicable
